What is the Gate Safe Hub?

The Hub is a CRM (Customer Relationship Management) online tool which has been specifically designed by Gate Safe to improve the running of a gate and barrier installation business. The system has been developed to:

  • enable the user to focus on generating business and delivering profit – rather than being ruled by paperwork
  • effectively manage gate and barrier installation appointments & associated follow-up
  • schedule and organise maintenance visits
  • store essential risk assessments and supporting photographic evidence from site visits
  • automatically generate the required technical file to ensure compliance with the EU Machinery Directive

Why do you need The Hub?

The Hub seamlessly manages the flow of work to keep you on track with ‘ticking all of the boxes’ to deliver a compliant electric gate by producing the required risk assessments, UKICA/CE declaration and customer handover pack. It also streamlines the administration for installations / maintenance by creating one handy ‘digital filing cabinet’ especially designed to accommodate all the information associated with electric gate and barrier installations.

The Hub can schedule your installations, manage your customers, diarise you and your team’s time and will provide the necessary reminders to make certain you have everything covered to comply with the Supply of Machinery (Safety) Regulations 2008.

The Hub manages your customers from the enquiry stage right through to the completed installation and beyond, by automatically scheduling the recommended maintenance visits to act in accordance with best industry practice.

The Hub uses the IOSH (Institution of Occupational Safety and Health) risk assessments and produces the technical file for every installation.

The Hub comprises five main functions:

Sales: Add, create and update the customer database with new information, quotations, contact information etc. All customer correspondence is held here including risk assessments and specifications for the gates you are installing / commissioning

Plans: All of the maintenance / service visits are stored here to schedule the work flow for your team

Actions: This is where specific action plans to correct any problems or snagging associated with a new installation / maintenance visit are logged, together with a record of any concerns with the installation as reported by the customer. All actions are held on file to show a chronological list of any issues that have arisen with the gate / barrier

Map: Provides an easy snap shot overview of all the installs, repairs, services, surveys and after sales visits linked with any upcoming works.

Reports: This is a handy tool which helps to monitor the performance of the company by generating reports detailing sales statistics, enquiry sources and customer profiles. The reports are fully editable allowing you to select a desired period of time or the whole calendar year.

How much is The Hub?

The Gate Safe Hub is priced at £295 + VAT per annum

Getting Started

IT IS VITAL TO SPEND TIME ON THIS WHEN YOU FIRST SIGN UP TO THE HUB!

Setting up the Hub is very simple and it is possible to personalise the system by:

  • adding your company details, and logo
  • adding details of staff members
  • setting up the system to originate handover packs featuring your company information and branding
  • customising The Hub to suit your business needs ie by changing / adding customer types, sources, quotes, issues and gate types
  • adapting the frequency of maintenance plans
  • tailoring the list of components for the handover pack (technical file), a stock library is provided but you can add / remove products.
The Hub is supplied with 100 “Dummy Records” allowing you to fully explore the system and get to grips with how it works prior to uploading your own customer details. The dummy records will automatically be deleted after 30 days.

NB It is important to remember to only enter ESSENTIAL documentation onto the Hub to avoid overloading the system and exceeding the recommended data storage capacity.
